Buyers and lenders do not pay for stated income. They pay for documented, reconcilable earnings — and in fuel retail that means three data sets that must agree with each other: tax filings, point-of-sale records, and supplier statements.

The Core Financial Package
Provide three years of business tax returns and, where relevant, personal returns showing the business income. Add profit and loss statements and balance sheets for the same period plus year-to-date, monthly rather than annual, because seasonality matters in fuel retail.
Include sales and fuel tax filings, payroll records and reports, accounts payable and vendor statements, current equipment and lease obligations, and existing debt schedules with payoff figures.
Fuel and Store Operating Data
Supplier load statements covering 24 to 36 months by grade are the only credible evidence of gallons. Pair them with tank inventory reconciliation reports. Buyers will reconcile both against your fuel tax filings.
From the point-of-sale system, pull department-level sales and gross profit reports, not summary totals. Beverages, beer and wine, tobacco, snacks, food service, lottery, and services should each be visible, with margin and shrink.
Reconciliation and Add-Backs
Reconcile POS reports to bank deposits and to the tax return. Any gap becomes the buyer's leverage. Then present a clear seller's discretionary earnings schedule listing each add-back — owner compensation, family payroll, personal vehicle, one-time repairs, non-recurring legal — with documentation attached.
Adjust for what a buyer will actually incur: reassessed property tax after sale, current-market insurance, and market-rate labor for hours you or family work unpaid. Presenting these yourself builds credibility; having a buyer discover them destroys it.
Presentation Quality Affects Price
Clean, monthly, reconciled statements shorten diligence, support lender approval, and reduce the number of repricing requests. Disorganized records signal risk, and buyers price risk.
