Card fees are one of the largest controllable expenses at a fuel site, and the processing setup is more complicated than in ordinary retail because the pump, the register, and the fuel brand are all involved.
This article explains how payment processing works in fuel retail and how to evaluate providers. See also POS systems for fuel and convenience operations.
Why Fuel Processing Is Different
Fuel transactions involve a pre-authorization at the pump followed by a settlement for the actual amount, which affects authorization limits and customer holds. Interchange on fuel has its own rate structures, and because the ticket scales with fuel price, card cost per gallon rises when prices rise even if the rate does not change.
Branded sites often process fuel through the brand's network under the supply agreement, while inside sales run through a separate merchant account. That split means you may only control part of your processing cost.
Evaluating Providers
Insist on interchange-plus pricing so you can see the markup, and get the full fee schedule — per-transaction, monthly, gateway, PCI, statement, chargeback, and early termination. Tiered or bundled pricing hides the real cost. Compare on effective rate across a full month of your own volume mix, not on a headline rate.
Then check the practical items: certification with your POS and dispenser hardware, EMV support at the pump, mobile and contactless acceptance, fleet card acceptance, funding speed, chargeback handling, PCI compliance support, and around-the-clock help when the pumps stop taking cards at two in the morning.
Reducing Card Cost
Keep EMV current at the pump to avoid fraud liability shifts, encourage debit and loyalty-linked payment where the economics favor it, consider a compliant cash discount or fuel price differential if lawful in your state and permitted by your brand, and renegotiate the markup annually.
