Keep-full shifts run-out responsibility to the supplier, which is worth negotiating explicitly in writing rather than assuming.
Setting Reorder Points and Drop Sizes
Size drops to fill efficiently — partial loads cost more per gallon in freight. Set the reorder point using peak daily consumption plus lead time plus a safety buffer for weather and demand spikes.
Tank monitoring makes this precise. Without it, forecasting relies on historical averages, which fail exactly when consumption changes.
Contract Terms to Nail Down
Specify delivery windows, minimum drop size, pricing index and differential, fuel surcharges, after-hours and emergency delivery fees, run-out responsibility, priority during shortages, and how the schedule adjusts seasonally.
Also define notification: who gets the delivery confirmation, in what format, and how disputes over gallons delivered are resolved.
Monitoring and Review
Reconcile delivered gallons against tank readings monthly, track on-time percentage, and review the differential annually. A recurring program should be audited like any other recurring expense.
